Onboarding Software With E-Signature: Why It Should Be Standard

Many onboarding platforms list "e-signature" as a feature on their marketing page. What they often mean is an integration with a third-party tool — typically DocuSign or Adobe Sign — billed separately, configured separately, and storing documents separately.

For HR, this creates a problem. Documents signed externally do not automatically appear in the onboarding platform. Someone has to download them, rename them, upload them, and link them to the right hire record. In practice, this step gets skipped, and document records become incomplete.

• The new hire signs documents within the onboarding portal — not redirected to a third-party tool
• Signed documents are automatically stored against the hire's record with no manual upload
• The audit trail (who signed, when, from what device) lives in the same system as the rest of the onboarding data

• No separate billing, no separate admin panel, no extra seat licensing

The Compliance Case for Integration

From a compliance standpoint, documents and their metadata need to be consistently stored and retrievable. If contracts are in DocuSign, policies are in Google Drive, and onboarding tasks are in a separate platform, you have three independent audit trails that do not talk to each other. In a tribunal, that creates gaps.

What to Look For When Evaluating Platforms

• Is e-signature genuinely built into the base plan, or is it a paid add-on?
• Do signed documents appear in the hire's profile automatically?
• Is there a full audit log per document (signer, timestamp, IP)?
• Can you send multiple documents in a single signing request?
• Does the platform track which documents are outstanding vs signed?
• Is the signed document tamper-evident?
